Refund & Cancellation Policy

This policy explains when you can cancel, what you get back and how long it takes. It forms part of our Terms of Service, and it applies to every programme and subscription bought from Medhavio.

1. Before you pay

Every programme has a free tier and a published syllabus, so you can judge the teaching before spending anything. Sit in on an open workshop, work through the foundation material and read the programme page end to end. If something is unclear, ask us at hello@medhavio.com before you enrol — we would rather answer a question than process a refund.

2. The free plan

The Explorer plan costs nothing and takes no payment details. There is nothing to cancel and nothing to refund. You can stop using it at any time, and you can ask us to delete your data under our Privacy Policy.

3. Cooling-off period

If you buy a paid plan or a cohort seat, you have 7 calendar days from the date of payment to change your mind and receive a full refund, provided you have not attended more than two live sessions and have not downloaded the full project brief pack for the track.

The cooling-off window runs from payment, not from the cohort start date. If your cohort begins more than seven days after you pay, the window in section 4 applies instead and is more generous.

4. Cancelling before your cohort starts

  • Cancel more than 7 days before the cohort start date: full refund of the programme fee.
  • Cancel within 7 days of the start date: full refund, or a free transfer to any later cohort of the same track — your choice.
  • Transfer instead of refund: you can move your seat to a later cohort once, at no charge, provided you tell us before the cohort starts.

5. Cancelling after your cohort starts

Once teaching begins we have committed mentor time, session slots and review capacity to your seat, so refunds are partial:

  • Within the first 30 days of a track longer than 12 weeks: a pro-rata refund of the fee for the weeks not yet delivered, less any payment-gateway charge that we cannot recover.
  • Within the first 14 days of a track of 12 weeks or shorter: the same pro-rata calculation over the shorter schedule.
  • After those points: the fee for the current programme is not refundable, but you may pause and rejoin a later cohort once, free of charge, within twelve months.

If you have to stop for a medical or family emergency, write to us. We will look at it properly and, in genuine cases, we credit the unused portion towards a future cohort even where this policy would not require a refund.

6. Monthly and annual subscriptions

  • You can cancel a subscription at any time. Cancelling stops the next renewal.
  • Access continues until the end of the period you have already paid for; we do not claw back the remainder of that period.
  • A part-used month is not refunded, except where the cooling-off period in section 3 still applies or the law gives you a stronger right.
  • For an annual plan cancelled within the cooling-off window, we refund the full amount. After it, we refund the unused whole months at the annual rate.

7. What we do not refund

  • Certificates already issued, and any fee for re-issuing or verifying one.
  • One-off add-ons that have already been delivered, such as an extra 1:1 mentor session or a scheduled mock interview you attended.
  • Amounts written off by a scholarship, discount or fee-support arrangement — a refund never exceeds what you actually paid.
  • Taxes, bank charges or currency-conversion costs that we never received and cannot recover.
  • Access removed for a serious breach of our Terms of Service, such as sharing your account or redistributing course material.

8. If we cancel or change something

If we cancel a cohort, postpone it to a date that does not work for you, or materially change a programme you have already paid for, you choose: a free transfer to another cohort or track, or a full refund of the affected amount. That applies regardless of any window above, and we make the refund without you having to ask twice.

9. Duplicate, failed and unauthorised payments

If you are charged twice, charged after cancelling, or charged for something you did not buy, tell us at billing@medhavio.com with the transaction reference. We refund verified errors in full to the original payment method, and we do not apply any of the windows above to them.

If a payment fails or is reversed by your bank, enrolment does not complete and no fee is owed. Nothing is charged twice for the same seat.

10. How to request a refund

Email billing@medhavio.com from the address you enrolled with, and include:

  • your full name and the programme or plan you bought
  • the payment date, amount and transaction or order reference
  • a line on why you are cancelling — helpful, but not a condition of a refund you are entitled to

We acknowledge every request within two working days and tell you in writing whether it is approved, together with the amount and the calculation behind it.

11. How long it takes

Approved refunds are initiated within 10 working days and are always returned to the original payment method — UPI, card, net banking or the instalment provider you used. How quickly the money then appears is up to your bank or card issuer, and typically takes a few more working days. We cannot refund to a different account, as that is a standard anti-fraud requirement of the payment networks.

12. Disputes and chargebacks

If you disagree with a decision, reply to the same email thread and ask for it to be reviewed; a second person will look at it. You can also escalate to our Grievance Officer at grievance@medhavio.com, and you keep every right you have under the Consumer Protection Act, 2019 and any other law that applies to you.

Please talk to us before raising a bank chargeback. A chargeback filed while we are still reviewing a request usually freezes the refund we were about to make and slows everything down for both of us.

13. Your statutory rights

Nothing in this policy limits any right you have as a consumer under mandatory law, including any statutory cancellation or cooling-off right and any remedy for a service that was not delivered as described. Where the law gives you more than this policy does, the law wins.
